Define the customer journey that must work

Start with three real customers: somebody buying a product online, somebody buying in person and somebody reserving a paid service. Trace what happens when each customer changes their mind. Can an online item be returned in store? Does cancelling an appointment release the slot and reverse the correct deposit? Does a signed proposal create the right payment request? These questions expose the boundaries between systems. A single suite can reduce handoffs, but several connected tools may serve a specialized business better. Evaluate the entire journey rather than awarding points for every feature that appears on a product homepage. Your shortlist should include products that suit your operating model, not merely products that share a label such as commerce.

Build one representative basket of costs

Give every vendor the same operating assumptions: monthly revenue, transaction count, average ticket, percentage sold online, number of sites, registers, staff calendars and signature senders. Add expected refunds, international cards and recurring subscriptions where relevant. Then separate the platform fee from payment processing and other service charges. As an illustrative calculation, a hypothetical processor charging 2.9% plus $0.30 would cost $3.20 on a $100 transaction and $0.59 on a $10 transaction. Those are arithmetic examples, not a universal quote. They show why comparing only the percentage is misleading. Keep hardware purchases, installation, training and annual software commitments visible in the first-year total instead of burying them inside an average monthly number.

Calculate what growth changes

Growth does not increase every product's bill in the same way. A new location may require another POS subscription, while another employee may require a scheduler calendar, an e-signature seat or neither. A sales threshold can move a storefront into a more expensive tier. BigCommerce's current published plans use GMV thresholds and distinguish Embedded from Open Payment Providers, so an old blanket assumption of no platform transaction fees is unreliable. Shopify lists separate POS Pro charges in addition to its commerce plan. Use the vendor's exact definition of revenue, GMV, active user or location. Model your current business, an achievable growth case and an unexpectedly busy month. Record whether an upgrade happens automatically and what options exist if activity later falls.

Prove the shared stock and calendar behavior

For a retailer, sell the last unit through two channels nearly simultaneously and inspect the outcome. Test partial fulfillment, pickup, damaged returns and an item transferred between locations. For a service business, book a staff member and a required room together, then change the duration and move the booking across timezones. Check what customers see if a payment fails after a slot is selected. Platforms may advertise shared inventory or calendar synchronization while relying on an add-on with separate limits. Clover, for example, documents SKU IQ for connecting an existing webstore. Ask who supports the complete connection, how conflicts are reported and which system wins when both have changed the same record.

Treat signatures as a workflow with measurable units

Electronic signature software can be billed by sender, envelope, document or automated transaction. Those units are not interchangeable. An agreement sent to several recipients may consume a different allowance from an API-generated batch. Ask each provider to price the actual workflow, including preparation, reminders, identity checks, rejected requests and completed-record storage. A product with unlimited manual requests may still charge separately for automated generation or API usage. Download a completed agreement and its event record during the demo, then check who can retrieve it if a sender leaves the business. For contracts requiring specific identity or legal conditions, have the responsible adviser define the requirement before assuming that an audit-trail feature alone settles it.

Evaluate AI by the job it can finish

A product-description writer, a booking assistant and a finance agent solve different problems. Build a short task card for each desired outcome, including its input, expected output, approval step and recovery path. For an appointment assistant, test an unavailable service, an ambiguous time and a cancellation request. For store AI, inspect whether it only explains a report, proposes changes or can execute them with approval. WooCommerce currently labels its native assistant private beta, while BigCommerce documents a merchant-facing Companion with a defined scope. SimplyBook.me charges voice conversations through credits, so an abandoned conversation still matters to the cost model. Record availability, limits and human review in the score, and keep speculative roadmap items outside the available-feature column.

Run a launch rehearsal and keep an exit route

Before switching a live business, rehearse a day of operations with staff using the devices, browsers and network conditions they will actually have. Place and refund a small test order through the supported test or controlled live process, reconcile its fees, print the required receipt and inspect the accounting handoff. For appointment operations, send a reminder and verify the customer's cancellation journey. Keep an explicit cutover owner and a short list of issues that would delay launch. Also export the product catalog, customer records, open bookings and completed agreements in a usable format. A mature buying decision includes the cost of leaving: domain control, retained records, equipment commitments and access after cancellation. Choose the combination that staff can operate reliably and explain financially, rather than the combination that produces the most impressive first demo.
