How to scope procurement software for a US finance team

Map requests to payment-ready records, compare configured costs, and test partial receipts, invoice exceptions, accounting synchronization and data exit.

Map one purchase before drawing a feature checklist

Choose a routine purchase that crosses departments, such as equipment requested by operations and paid by finance. Write who requests it, who approves the commitment, who issues the order, who records delivery and who approves the invoice. Identify what each person needs to see and which system owns the final accounting record. Then repeat the exercise for a service that has no physical delivery. The purpose is to reveal handoffs, not to force every supplier into the same terminology. A product that creates purchase orders may still need another module for requests, receiving or accounts payable. Put the complete configured workflow at the top of the buying brief.

Use exceptions to test the value of matching

A routine invoice can make many products look similar. Give each supplier the same exception set: ten units ordered, six received, an invoice for ten, a changed unit price and a duplicate supplier invoice number. Ask what happens before posting and before payment, and who can override the exception. Include a prepayment because receipt checks may deliberately work differently there. Require the demonstrator to show the resulting history with an ordinary account. Do not assume that a three-way-matching label means every discrepancy blocks payment. Write down tolerance, timing, authority and evidence so finance can decide whether the control fits its process.

Normalize users, modules and the annual commitment

Prepare a role count for requesters, receivers, approvers, buyers, AP staff, administrators and integration accounts. Ask the vendor to map that count to its licensing rules. Procurify separates Basic and Pro roles; other offers include a user allowance or quote by a user tier. Add the modules needed for the complete process, accounting connectors, supplier catalogs, identity controls, training and document capture. Show first-year cash cost separately from steady-state renewal. An annual rate expressed per month is not a monthly cancellation right. Keep the quoted currency explicit, particularly where a public page only displays a dollar symbol. No unconfirmed charge should be entered as zero.

Scope US suppliers and payment services separately

Ask finance which supplier records it needs before a vendor can be approved, including tax information, bank details and internal ownership. Demonstrate who may add or change a supplier and whether another person reviews a sensitive change. A W-9 collection field does not establish verification or filing services. If payment execution is required, list the US entities, bank accounts, currencies and payment methods, then confirm onboarding eligibility, fees and reconciliation with the service provider. Keep the software purchase and the payment-service approval as separate dependencies in the launch plan. The product should make responsibilities visible rather than encouraging staff to assume every configured supplier is safe to pay.

Prove the accounting connection with a retry

Specify the accounting product and edition, entity structure, chart of accounts, departments, tax codes and required attachments. Ask which direction each field synchronizes and which system wins if both records change. In a controlled demonstration, create an approved invoice, interrupt the connection and retry. Inspect whether the same record is duplicated, queued or rejected and whether staff can see the failure. Reconcile a credit, a partial receipt and a closed period as well as a new invoice. A connector listed on a pricing page establishes availability, not that your exact fields and controls are already configured. Include ongoing ownership and support escalation in the implementation scope.

Treat AI extraction as a draft that needs checking

Use a representative invoice set with different layouts, low-quality scans, missing purchase-order references and repeated invoice numbers. Measure whether staff can identify and correct the fields that matter before approval. Ask whether an absent value remains blank, becomes zero or generates a warning; those outcomes have different operational consequences. Record document formats, page or invoice meters, retries and any limits hidden behind a basic or unlimited label. Confirm who can review and approve a draft and whether original documents remain attached. Document extraction does not by itself establish approval, accurate matching or authority to initiate payment. Keep unsupported AI analysis or autonomous-action claims outside the acceptance criteria.

Pilot open commitments and keep an exit package

Start with one department, a manageable supplier group and a single accounting connection. Import clean master data and reconcile open orders, partial receipts and outstanding invoices before staff begin new work. Agree on a launch owner, support hours and the exceptions that would stop expansion. At the same time, request an exit export containing usable purchase records, attachments and approval history. A spreadsheet of totals may not be sufficient for later reconciliation. Test that the exported files can be matched to each other without vendor assistance. The buying decision is stronger when the team knows how to operate the system through an ordinary failure and how to retrieve its records when the contract ends.
