WHAT WE MEASURE

The criteria behind the score.

The established 20 checks contribute 80 points. Eight new operational checks contribute 20 points. AI checks are included in their own group and are excluded when AI priority is set to zero. These assess documented capability scope, not measured performance. Adjust group priorities in the comparison tool.

  1. Self-service booking 24%

Customers need a clear way to select the right service and available time.

  2. Calendars, staff & resources 16%

Avoid conflicts across people, locations and bookable resources.

  3. Reminders & follow-up 16%

Notifications, changes and follow-up help the booking remain usable.

  4. Payments & deposits 12%

Paid services need collection and cancellation workflows.

  5. AI scheduling assistance 12%

Distinguish recommendations, meeting notes and actual booking actions.

  6. Operational detail 20%

Specific workflow, integration and control checks beyond the established rubric.

THE PRACTICAL BUYER’S GUIDE

How to choose appointment scheduling.

Scheduling software is not one uniform category. A sales team usually needs calendar coordination and lead routing; a salon needs staff availability, service duration, deposits and a checkout workflow. A consultant may need both. Define the appointment, the people and resources involved, and the rules for changing it. Compare the plan that supports that workflow, including SMS or WhatsApp credits and payment fees where relevant. AI can answer questions or help a client book, but a conversational interface should still respect availability, cancellation rules and a clear confirmation step.

Choose the scheduling model before choosing the brand

List whether your bookings are one-to-one meetings, team meetings, classes or paid services. Then describe staff selection, service length, buffers, rooms, equipment, recurring sessions and time zones. A tool that is excellent at finding a meeting slot may require workarounds for a treatment room or a package of classes. Test a booking from the customer's phone and a change made by staff. Include an appointment near a daylight-saving transition if your team works across US time zones. The objective is to find a model that matches normal operations without maintaining a second calendar.

Treat reminders and payments as a complete workflow

Walk through a deposit, a reschedule, a cancellation and a no-show. Decide which notifications are operational reminders and which are marketing, and confirm that the product can support your chosen permissions and preferences. Compare email, SMS and other channel allowances separately; an included reminder feature does not necessarily mean unlimited messages. Ask how refunds, saved payment details and processor fees are handled. For a service business, check the handoff from appointment to checkout and reporting. For a sales team, check the handoff into CRM and who owns the record after reassignment.

Measure the AI's actual role in the booking

An AI note-taker, an assistant that suggests meeting times and a client-facing agent that creates appointments are different products. Ask which role is available in the quoted plan. Test an unavailable time, an ambiguous service, a cancellation request and a request for a human. Require the final appointment details to be clear to the customer before commitment. If the feature consumes credits, find out whether incomplete conversations also count. Keep a normal booking path available for customers who prefer it. Evaluate the assistant by completed, correct bookings and reduced staff effort rather than the novelty of the interface.

What changes the total cost?

  • Host seats, bookable staff, locations, calendars and monthly booking limits.
  • SMS, WhatsApp, AI conversation credits and paid marketing tools.
  • Payment processing, website packages, migration and specialist integrations.

Where purchases go wrong

  • Buying a meeting scheduler for a complex service operation without testing resources and checkout.
  • Assuming all reminder channels and AI conversations are unlimited.
  • Treating a meeting note-taker as evidence of autonomous appointment booking.

Bring these questions to the demo

  • Can we model our staff, buffers, rooms and cancellation rules?
  • How are duplicate bookings and external calendar changes handled?
  • What does a deposit, refund or no-show cost in our chosen plan?
  • Can the AI change a booking, or does it only provide information and a link?

Questions buyers ask

Can one product cover meetings and paid services?

Sometimes, but verify the workflow. Payment integrations can make a meeting scheduler useful for consulting, while service-focused platforms may offer richer staff and resource controls. Start with the hardest booking you must support and test it end to end.

Do customers need to buy seats?

Usually host or staff licensing is distinct from the customer making a booking, but the pricing basis varies. Some services also cap bookings, calendars or providers. Read the plan definition and model the number of people who actually manage or host appointments.

How should AI booking be scored?

Score the documented task in the proposed plan. Meeting summaries deserve different treatment from an assistant that checks availability and confirms an appointment. Note credit limits, activation requirements and human handoff, and leave unverified capabilities unknown.
