WHAT WE MEASURE

The criteria behind the score.

The established 20 checks contribute 80 points. Eight new operational checks contribute 20 points. AI checks are included in their own group and are excluded when AI priority is set to zero. These assess documented capability scope, not measured performance. Adjust group priorities in the comparison tool.

See the complete calculation →
  1. Time capture 20%

Capture should fit the work location and devices.

  2. Shift or resource scheduling 20%

Coverage and availability need a usable planning process.

  3. Timesheet approvals 16%

Managers need a controlled correction and review step.

  4. Payroll handoff 12%

Approved time must reach payroll or an export.

  5. AI scheduling & assistance 14.5%

AI needs operational inputs and manager review.

  6. Operational detail 17.5%

Specific workflow, integration and control checks beyond the established rubric.

THE PRACTICAL BUYER’S GUIDE

How to choose time & attendance.

Time tracking for client projects and time attendance for shift workers share a clock but serve different decisions. A consultancy may prioritize billable hours and project budgets, while a restaurant or retailer needs coverage, shift swaps, breaks, and payroll-ready approvals. Start with the places people work, the devices they can use, and the manager who fixes a missing entry. Then define how scheduling, approved time, pay rules, and payroll fit together. A schedule is planned work; a time record is reported work; an approved timesheet is a controlled handoff. Comparing those separately avoids buying an attractive calendar that leaves the difficult administrative work unchanged.

Match the clock to the workplace

Test the exact devices employees will use: a shared kiosk, phone, browser, or point-of-sale terminal. Include a missed punch, poor connectivity, a location change, and a manager correction in the demonstration. Ask what location or biometric information the selected method collects and how your team configures access and retention. Those choices deserve an operational and privacy review for your workforce; a product feature alone does not establish suitability. If workers track client projects, check whether time can be assigned accurately to the project and task without making the daily entry process too cumbersome.

Follow one schedule through to payroll

Build a normal week using employee availability, required roles, time off, and an unexpected absence. Have a worker request a swap and a manager approve it. Then replace the planned hours with actual clocked time, correct an entry, and export the approved period. Check employee identifiers, earning codes, multiple rates, and the destination payroll period. An integration logo does not show which fields transfer or who reconciles failures. Ask for the support owner on both sides. For US operations across locations, have your payroll or workforce specialist review how your real policies are configured before trusting automatic calculations.

Distinguish automation from AI and price both

Automatic reminders, recurring schedules, and rule-based approvals can be useful without being generative AI. Ask a vendor to show what its AI actually does: forecast demand, suggest staffing, answer questions, or draft a schedule. Then provide incomplete availability and conflicting requests to see how it handles uncertainty. Managers should be able to inspect and change recommendations before publication. Normalize per-location pricing against per-user pricing at your actual size, including inactive or seasonal staff where billed. Include payroll, advanced scheduling, reporting, and AI add-ons, and identify introductory AI access that could become a separate paid feature later.

What changes the total cost?

  • Per-user versus per-location billing and seasonal headcount.
  • Payroll, advanced scheduling, kiosks, reporting, and administration tiers.
  • Manager time spent resolving missing records and integration exceptions.

Where purchases go wrong

  • Treating planned shifts as approved payable hours.
  • Assuming every payroll connector transfers every earning code.
  • Calling rule-based scheduling AI without a documented AI capability.

Bring these questions to the demo

  • Show missed-punch correction and its approval history.
  • Can employees swap shifts without exposing everyone else's private information?
  • Which exact fields transfer to our payroll product?
  • What happens when AI receives incomplete availability or conflicting constraints?

Questions buyers ask

Can a free timer replace attendance software?

It may cover simple hour capture. Scheduling, approvals, payroll export, and role controls often require additional capabilities or paid tiers.

Is automatic scheduling always AI?

No. We credit AI only where the vendor documents an AI capability and describe its scope separately from routine automation.

What should a pilot measure?

Measure missed entries, correction effort, manager approval time, and successful payroll handoffs using a representative team.
