WHAT WE MEASURE

The criteria behind the score.

The established 20 checks contribute 80 points. Eight new operational checks contribute 20 points. AI checks are included in their own group and are excluded when AI priority is set to zero. These assess documented capability scope, not measured performance. Adjust group priorities in the comparison tool.

See the complete calculation →
  1. Budgets, policies & approvals 24%

Control who can spend and how exceptions are approved.

  2. Receipts & reimbursements 16%

Reduce missing documentation and employee reimbursement effort.

  3. Vendor bills & payments 16%

Distinguish employee expense tools from a complete payables workflow.

  4. Accounting synchronization 12%

Reliable mappings and error handling matter at close.

  5. AI capture, review & coding 14.5%

Assess the task, review boundary and product tier rather than the AI label.

  6. Operational detail 17.5%

Specific workflow, integration and control checks beyond the established rubric.

THE PRACTICAL BUYER’S GUIDE

How to choose spend & expense management.

Spend management covers several related jobs: authorizing purchases, issuing cards, collecting receipts, reimbursing employees and paying vendors. Products overlap, but a strong expense-reporting tool is not automatically a complete procurement or accounts-payable system. Decide which workflow is breaking down and whether employees will use a vendor-issued card or existing cards. US eligibility and underwriting can affect access to financial products; a software plan does not guarantee approval. Compare the operational controls and integration depth, then evaluate AI on the specific receipt, policy-review or coding task it performs.

Choose where in the spending process to intervene

Map a purchase from request to approval, card charge, receipt, accounting entry and payment. Identify whether the problem is unauthorized spend, missing documentation or a slow close. A card-led platform can place limits before a purchase, while a reimbursement workflow works after an employee has paid. Many businesses need both. Test a department budget, an exception approval, a personal-card expense and an employee leaving the company. Confirm whether the financial product is available to your business and whether adopting it is required to obtain the advertised software price or functionality.

Make the accounting integration earn its place

Use a real chart of accounts and a sanitized set of departments, projects and entities during the demo. Submit a receipt with several expense types and examine how it appears in the ledger. Then edit it after synchronization and observe the correction workflow. Ask who resolves a failed sync, how duplicates are prevented and whether attachments travel with the record. A named integration is only the beginning; the direction, supported fields, timing and error handling determine whether it removes work. Compare these details before counting the integration as a complete replacement for manual reconciliation.

Put AI review into a controlled exception process

Test a duplicate receipt, a missing business purpose, an out-of-policy item and a legitimate exception. Ask the AI to explain the source of its suggestion and show what remains for a person to approve. Receipt extraction, automatic coding and autonomous policy enforcement have different consequences. Start with a narrow pilot and measure correction rates, review time and missing-document follow-up. Confirm which advanced features require a paid tier and which users are billed. Keep a way for employees to dispute a classification so automation does not turn an ambiguous receipt into an unexplained rejection.

What changes the total cost?

  • Licensed or active users, platform fees and product tiers.
  • Card eligibility, payment methods, reimbursements, international transfers and optional travel.
  • ERP connectors, entity structure, procurement modules and implementation.

Where purchases go wrong

  • Assuming free software means every payment method and financial product is free or available.
  • Treating an expense app as a full accounts-payable or procurement system.
  • Counting an integration without checking fields, attachments and correction behavior.

Bring these questions to the demo

  • Can we approve a request before spending and handle a legitimate exception?
  • Can employees use existing cards, and what changes if they do?
  • How does a corrected expense synchronize to our ledger and entity structure?
  • Which AI decisions are suggestions, which are automatic, and how can we reverse them?

Questions buyers ask

Do we have to replace corporate cards?

It depends on the product and desired workflow. Some platforms center on their own cards; others support connected cards or reimbursement. Compare the exact path you intend to use, including eligibility, controls and the price attached to it.

Is an accounts-payable product also an expense platform?

Sometimes a vendor offers both, but they can be separately priced products. Vendor bills, employee reimbursements and purchase approvals have different users and controls. Confirm each workflow and the integration between them in the proposed package.

Can AI approve all employee spending?

That should be a deliberate policy decision, not a default assumption. Verify the product's approval boundaries and exception handling. Start with well-defined cases, inspect errors and preserve a human review path for ambiguous or unusual transactions.
