WHAT WE MEASURE

The criteria behind the score.

The established 20 checks contribute 80 points. Eight new operational checks contribute 20 points. AI checks are included in their own group and are excluded when AI priority is set to zero. These assess documented capability scope, not measured performance. Adjust group priorities in the comparison tool.

See the complete calculation →
  1. Financial management 20%

The system must support the core transaction and close workflows.

  2. Inventory, orders & operations 20%

Match operational modules to the actual business, not a generic suite list.

  3. Entities & consolidation 16%

Entity structure and currency needs can materially change architecture and price.

  4. Integration & configuration 12%

Extensions, APIs and supported integrations determine maintainability.

  5. Embedded AI & governance 14.5%

Verify deployed task-level AI, permissions, availability and incremental cost.

  6. Operational detail 17.5%

Specific workflow, integration and control checks beyond the established rubric.

THE PRACTICAL BUYER’S GUIDE

How to choose erp & business management.

ERP is a process change as much as a software purchase. A useful shortlist starts with the operational handoffs that currently fail: sales orders retyped into finance, stock that does not match the warehouse, project costs assembled in spreadsheets or subsidiary balances consolidated manually. Compare systems against those tasks and the people responsible for them. A finance-led platform and an inventory-led ERP can both be strong choices for different businesses. A larger feature list does not establish a better fit. Your first release needs a credible implementation scope, reliable data and clear ownership of exceptions.

Build a script around your hardest normal day

Write a scenario that includes a normal order and the exceptions that repeatedly cost time: a partial shipment, returned item, price change, substituted supplier, intercompany transaction or project cost correction. Require vendors and implementation partners to show the end-to-end process in the proposed edition. Mark each step as standard, configured, extended or outside scope. That distinction matters more than a broad promise that the platform can do it. Include warehouse, operations and finance staff in the evaluation so an improvement for one department does not create manual work for another.

Treat the implementation proposal as part of the product

Ask for named deliverables covering data migration, integrations, role design, testing, training, cutover and post-launch support. Specify which historical records will move and which will remain in a searchable archive. Require the partner to explain how customizations survive upgrades and who resolves an integration failure after go-live. A license quote without implementation assumptions cannot support a budget. Agree on acceptance tests and business owners before signing. For a phased rollout, define what the first phase excludes and how those exclusions will be handled without creating a permanent parallel spreadsheet system.

Price the next stage of growth

Compare licensing under the staffing, transaction volume and company structure you expect in two years, as well as today's baseline. Per-user, consumption-based and module-based models scale differently. Ask about read-only users, external users, additional companies, sandbox environments, API capacity and advanced planning. For AI, separate an included assistant from metered agents, third-party model costs or newly announced capabilities. Demonstrate approval boundaries with a low-privilege test user. A natural-language answer should not become an excuse to bypass controls over purchasing, inventory adjustments or financial posting.

What changes the total cost?

  • Core platform, modules, user types, companies and transaction or resource capacity.
  • Implementation partner, data cleanup, integrations, customizations and training.
  • Sandboxes, support, upgrades, AI credits and third-party services.

Where purchases go wrong

  • Selecting a suite before documenting the operational processes that must improve.
  • Treating roadmap announcements as capabilities included in today's contracted edition.
  • Underbudgeting migration and ongoing ownership of custom integrations.

Bring these questions to the demo

  • Which steps in our scenario are standard, configured, custom or unsupported?
  • Can you show entity consolidation and trace a total to source transactions?
  • Who owns integration failures, upgrades and support after implementation?
  • What is the complete three-year cost including AI, environments and growth?

Questions buyers ask

Can a smaller business justify ERP?

Yes, when operational complexity creates enough manual work or control gaps. Headcount alone is a poor selection rule. Map the costly handoffs, confirm the minimum useful scope and compare the change effort with improving the existing stack.

Is cloud deployment enough to make implementation simple?

No. Hosting reduces some infrastructure work, but does not clean master data, decide approval rules or train staff. A successful project still needs a process owner, tested integrations and a realistic plan for operating during cutover.

How should we compare ERP AI?

Ask for a live demonstration of the exact task in the contracted product version. Document permissions, human approval, usage cost and supported regions. Text generation, anomaly detection and agents executing transactions solve different problems and should be described separately.
